OneAll Human Capital · Practice Support

The first person your patient meets isn't you.

We train your front desk and practice support team to the standard your patients already assume you guarantee. Accredited, fully managed, and largely funded out of tax you are paying anyway.

The Problem

You trained for years to practise. Not to run a front desk.

Your patient's experience of your practice begins long before they meet you — on the phone, at the desk, in the queue for an authorisation that nobody followed up. They do not separate that from your clinical care. To them it is all one thing, and it is all you.

So the training falls to you: between patients, after hours, with no time and no training in how to develop other people. You are qualified in dentistry, optometry, chiropractic, medicine — not in building service capability in a receptionist. And yet the reputation of your rooms depends on it.

What practitioners say they are actually looking for:

  • Reliability
  • Warmth
  • Discretion
  • Follow-through
  • Composure
  • Accuracy
  • Ownership

Hospitality training gets you warmth. It does not get you someone who can hold an anxious patient, chase a rejected claim and keep a file confidential — all before ten in the morning.

The real cost

Burnout is rarely about the patients.

Practising at the standard your patients deserve is demanding on its own. Add running a business. Then add personally grooming a support team to match your professionalism — with no training in how to do it, and no hour in the day in which to do it.

That third job is the one nobody accounts for, and it is the one that quietly breaks practitioners. It is also the only one of the three that can be handed to somebody else.

This is the entire reason Practice Support exists: to take the development of your front-of-house team off your desk, and give it to people who do only that.

The Solution

A training unit built for exactly this.

Real humanitarians, trained in polished professional communication — and taught to bring genuine care to a patient relationship, not a script.

We run an accredited twelve-month learnership in client relations and practice support, built specifically for the health environment: the front desk, the phone, the bookings, the medical aid administration and the follow-ups that determine whether a patient comes back.

Trained before they reach your rooms

Six to twelve months of development in communication, etiquette, service mindset and practice administration — with us, not on your patients.

Fully managed, end to end

Vetting, accreditation, agreements, performance management, monthly reporting and every compliance document. You set the profile.

A university top-up, if you want it

Graduates can go on to accredited university short courses in practice and medical aid administration — managed by us as a bursary programme.

Mostly funded already

Up to 77% of what you invest can come back through tax incentives — and your skills development levy can carry more of it still.

Who this is for

Any practice where a patient arrives already anxious.

Health practices carry a burden other professions don't: your client is usually unwell, worried about money, or both. The person who meets them first sets the tone for everything that follows — including how much of your consultation time is spent undoing a bad start.

Dental

Dentists, orthodontists and oral hygienists

Reception, bookings, recalls, treatment-plan follow-up and the medical aid conversations patients dread having.

Optometry

Optometrists and optical practices

Front counter, dispensing support, benefit checks, order follow-up and the aftercare calls that build a loyal patient base.

Physical

Chiropractors, physiotherapists and biokineticists

Course-of-treatment scheduling, attendance follow-up, authorisations and the administration behind a long treatment plan.

Medical

GPs, family practice and specialist rooms

Triage at the desk, appointment control, referrals, accounts and keeping a full waiting room calm and informed.

Allied

Psychology, dietetics, audiology and podiatry

Sensitive intake, discretion as a default setting, and the confidentiality standards these practices live or die by.

Veterinary

Veterinary practices and clinics

Distressed owners, urgent bookings, estimates and follow-up — a front desk that has to be calm when nobody else is.

Outside the health sector? Law, accounting, advisory, engineering and corporate client-service teams have their own version of this. That is Professional Support

The Roles

The people who deal with your patients are your practice.

One learnership, several seats. These are the positions our graduates are trained to hold — and the positions where an untrained hire loses you patients quietly, without ever generating a complaint.

01

Front desk and patient reception

The first thirty seconds of your practice. Greeting, checking in, holding a waiting room, and making an anxious person feel expected.

02

Telephone, bookings and recalls

Answering properly, filling the diary intelligently, protecting your clinical time, and making the recall calls nobody gets around to.

03

Medical aid administration

Benefit checks, authorisations, claim submission, rejections chased rather than filed, and explaining a co-payment before it becomes an argument.

04

Accounts and patient billing

Statements, arrangements and account conversations handled with tact — so the money conversation never lands on you between patients.

05

Records, files and confidentiality

Patient information treated as a professional obligation, not an inconvenience — including what POPIA means at a front desk in practice.

“Invest in genuine, good people, and you always grow your practice.”

Our talent pool is built from people who have already proven, over hundreds of hours, that they show up for others — not for money, but because they chose to. We add deep training in communication, etiquette, ethics and conflict resolution on top of that foundation. Genuine patient care follows naturally, because these are people who actually want to know what someone needs.

The University Top-Up

Take it further: a university qualification on top.

Once a graduate has the client-facing foundation, the specialist administration can be layered on. We place graduates into accredited short courses and programmes at Wits and Unisa — practice and health administration, claims and financial administration, professional communication — and we manage the whole thing as a bursary programme.

Application, registration, fees, prescribed materials, academic support and the learner's stipend for the duration of the course. Your practice deals with one partner, one agreement and one report.

3

tracks to choose from — practice and health administration, claims and financial administration, and professional communication and governance.

Your Options

Two ways to run this. The choice is entirely yours.

The difference is when the learner moves into your rooms — and therefore how long you get to watch them work before you decide anything.

Model One

The full term with us

The learner completes the entire learnership under our roof. We train, host, mentor and manage them for the full twelve months. You fund the seat, receive the reporting, and carry none of the day-to-day.

At the end, you have first right of refusal to hire — a fully trained, work-hardened person, with a year of documented performance behind them.

  • No load on your rooms
  • Full 12 months managed
  • First right of refusal
Model Two

Early placement into your practice

The learner trains with us for the first six to nine months, then moves into your practice for the balance of the learnership — while their training, mentorship and performance management continue under us.

You get productivity months earlier, and a far longer test run: months of real work at your own front desk before any hiring decision. At completion you have first right of refusal, plus a 90-day probationary period on top.

  • Faster productivity
  • Longer test run
  • First right of refusal + 90 days

Either way, you are never obliged to hire. Graduates you decline are absorbed by our other partner employers — which is how we keep the pipeline honest and the placement rate real.

The Bottom Line

Up to 77% of the cost of building your practice team can be covered by tax incentives.

Between the Employment Tax Incentive, the Section 12H learnership allowance and your ordinary expense deduction, the great majority of what you invest can come back to you — while you build a team, score on your B-BBEE card and move on Employment Equity at the same time.

We walk your practice manager and accountant through the full arithmetic, sized to your practice's actual position, in the presentation.

Why This Works

Built on proven character, not just potential.

This learnership doesn't start with a classroom. It starts with service. We partner with strong volunteer organisations that develop life skills and values, mobilising young people who make real social impact — purely from the heart, with no compensation.

400+

hours of volunteer social-impact work, minimum, in areas of real need — before anyone is invited into the learnership.

You cannot teach someone to care. You can only find people who already do, and then give them the skill to express it professionally. In a practice where patients arrive frightened, that order matters more than anywhere else.

Your clinical excellence is only as visible as the care wrapped around it.
A twelve-month working interview — not a gamble

Questions

The things every practice asks first.

What exactly are we signing up for?

A twelve-month accredited learnership in client relations and practice support — training plus a paid workplace component — for candidates already vetted through our volunteer pipeline. It is managed end-to-end by us.

Do they sit in our rooms for the whole year?

Only if you want them to. Under Model One they stay with us for the full term and you decide at the end. Under Model Two they join you after six to nine months, once they are competent and confident, and continue training under us from inside your practice.

Do they learn medical aid administration?

Yes — practice-level medical aid work is part of the core programme: benefit checks, authorisations, claim submission, following up rejections, and explaining co-payments to patients. Graduates who want to go deeper can take the university top-up.

What does it cost?

Cost is sized to your practice and the scale you choose, and up to 77% of it can be covered by tax incentives. We take your practice manager or accountant through the full picture in the presentation, against your actual tax position rather than a generic example.

Do we have to hire the graduates?

No — but you get first right of refusal, and under Model Two a further 90-day probationary period. Graduates you don't take are placed with partner employers.

What about patient confidentiality?

Ethics, confidentiality and professional conduct are a formal part of the curriculum — including what POPIA means at a front desk in daily practice, rather than as a policy document nobody reads.

Can we verify this before committing?

Yes — we encourage it. Book a tour of our development offices in Sandton City and inspect the model for yourself before any paperwork.
